Job Summary:

Manages Bechtel India office or administrative services functions for all Bechtel India Offices ,providing a variety of services . Functions include but are not limited to: Leading a team of office service personnel, employee services, building operations and maintenance services, office facilities & space planning, activities related to office ES&H, liaison with appropriate external agencies/authorities and manage/implement office facilities related projects. Develop and recommend new and/or improved systems and procedures where necessary. Develop standards, forecasts and budgets for these services.  Managing, administering and negotiating office leases as well as serving as the strategic relationship manager for integrated facilities management services with key vendors/contractors. Investigates, analyzes and recommends new technologies and systems to improve work processes while staying in compliance with Bechtel and regulatory requirements. Exhibits, Practices and implements highest standard of Ethical behavior. Has unwavering commitments to Safety.

Major Responsibilities:

  • Plans, directs, coordinates and manages any of the functions noted above, through office services, staff, suppliers and subcontractors.
  • Sets goals; develops work plans, strategies and budgets, determines staff and resource requirements, and schedules work assignments.
  • Provides assistance and guidance to other Bechtel offices as requested.
  • Directs development, maintenance and performance of building systems/equipment and procedures within the area of responsibility. Ensure the office building is in operational readiness at all times.
  • Ensures safety & security of office building, employees and all company assets by supervising & co ordinating activities of security.
  • Works closely with India office procurement for requisition of services & materials.
  • Implements and reviews office safety & Pandemic safeguard measures.
  • Responsible for mail, courier, cafeteria and transport services.
  • Provide support to other India office functions as may be requested.
  • Directs continuing programs to analyze and test new/improved systems and work processes.
  • Performs personnel administration activities including salary planning and administration, replacement planning, career counseling and performance evaluation.

Education and Experience Requirements:

  • Typically requires bachelor's or master's degree (or international equivalent) and 13-15 years of relevant experience or 17-19 years of relevant work experience

Required Knowledge and Skills:

  • Knowledge of and experience in budgeting, estimating and preparation of work plans.
  • Knowledge of standards and practices related to office and administrative services.
  • Knowledge of applicable industry, legislative and regulatory standards.
  • Knowledge of technology, including hardware and software applications for administrative services functions as listed above. Understanding of computer systems used by disciplines/groups that have interface requirements with administration. Effective leadership and interpersonal skills.
  • Strong organizational skills.
  • Ability to deal effectively and negotiate with suppliers and contractors, internal/external customers, disciplines and project groups.
  • Ability to communicate effectively, verbally and in writing, with all levels of management.
  • Demonstrated experience in supervision and management.
