Project Overview:

Expo 2030 Riyadh is a global platform where countries, organizations, and individuals will come together to collaborate. Under the theme “Foresight for Tomorrow,” the Expo promotes sustainable development, innovation, and transformative thinking. The event will be held from October 2030 to March 2031 and is expected to welcome over 40 million visits.
The 6 km² Masterplan outlines a comprehensive framework for participation and infrastructure at the Expo. The exhibition space, totaling 491,100 m² GFA, can accommodate up to 197 participating countries and 29 international organizations. Working collaboratively with our customer, Expo 2030 Riyadh Company (ERC), Bechtel will manage the infrastructure program which comprises early works, utilities, and publicly accessible spaces like streets and parks. Our scope on the six-square-kilometer site will transition into a mixed-use legacy development to serve the community after the six-month event is over. The project’s master plan leverages international sustainability standards for urban afforestation, treated water, and energy sources.

Job Summary:

In this role, you will provide document and records management support and assist with establishing work processes. You will assist with the ECMS (Enterprise Content Management Systems), integrations, reports and Power BI dashboards. You will support your team with quality checks, resolving issues, providing software training, metrics, and planning. Your work will help ensure efficient and accurate management of documents and records.

Major Responsibilities:

  • Provides document and records management support and assists with developing and implementing document management and records archiving systems and related work processes.
  • Independently maintains moderately complex records and revision controlled documentation with limited oversight.
  • Uses the project Enterprise Content Management System to register, control, distribute, transmit, file, retrieve, and archive project documents and records.
  • Utilize quality monitoring methods and checks to improve metadata, data entry, document numbering, revision, workflow, and filing accuracy.
  • Coordinates with project functions, clients, partners, suppliers, and field personnel to resolve complex document control questions and actions.
  • Serves as a knowledgeable resource on document numbering, workflow expectations, electronic signatures, security classification, documentation quality, and records requirements.
  • Creates and updates desktop work instructions, plans, procedures, distribution matrices, and other document management guidance.
  • Trains project personnel in approved document management procedures and software applications and maintains applicable training records.
  • Assists with developing and implementing records retention and turnover plans and supports audits, project closeout, and final records turnover activities.
  • May prepares document management metrics, reports, and dashboards for management review and identify trends requiring attention.
  • Provides technical guidance and support to less experienced team members
  • Protects the confidentiality, integrity, availability, and appropriate security classification of company, client, and project information.
  • Performs other duties consistent with the position and assigned scope.

Education and Experience Requirements:

  • Requires a bachelor's degree, or international equivalent, and 5 to 8 years of relevant experience, or 9 to 12 years of relevant work experience.
  • Relevant experience must include document control, document management, records management, or information management in a project, engineering, construction, or comparable regulated environment.

Required Knowledge and Skills:

  • Career level knowledge of document and records management principles, document lifecycles, revision control, metadata, workflows, security, retention, and turnover.
  • Skilled and proficient in the document management discipline, with the ability to resolve a wide range of issues within established guidelines.
  • Demonstrated experience using an enterprise content or electronic document management system, such as Aconex.
  • Ability to understand and apply project procedures, customer requirements, and document control standards.
  • Proficiency with Microsoft Word, Excel, Outlook, Teams, and SharePoint. Experience preparing metrics or Power BI dashboards is beneficial.
  • Strong written and verbal communication skills in English.
  • Strong organizational skills with the ability to prioritize competing tasks, meet deadlines, and maintain accuracy in a high volume environment.
  • Ability to build effective working relationships with internal and external stakeholders and collaborate across functions and locations.
  • Ability to handle confidential information with discretion and maintain a strong focus on quality and customer service.

Preferred Qualifications:

  • Experience on major engineering, procurement, construction, infrastructure, or program management projects in the Kingdom of Saudi Arabia.
  • Advanced user experience with Aconex or another commercial enterprise content management system.
  • Experience with records retention, project turnover, audits, data migration, reporting, or dashboard development.
  • Experience training or providing technical guidance to document control personnel and project users.
  • Familiarity with ISO 9001, ISO 19650, or comparable information management and quality requirements, where applicable to the project.
