Job Summary:
The Inventory Specialist performs functions for BEO Tool and Consumable, including assisting with procurement, receipt, storage, transfer, and issue of tool program materials to support regional Bechtel projects. They provide training, as required, for warehouse/yard attendant(s) on use of BPS/ DSCS /Tool Hound and Tool Program procedures. Inventory coordinator will assist with the tool program procurement process including developing bidder lists, bid solicitation documents, bid analysis, and preparation of field material requisitions. As needed to support the tool program, Inventory Administrator will initiate system to generate/development of part number for tool program materials. Helps with tool program inventory counts including reports generation to ensure the overall inventories are updated and maintained. Communicates with suppliers and personnel within Bechtel to establish clear definition of requirements. #LI-TH1
Major Responsibilities:
- Develop a Daily/Weekly/Monthly work plan for yourself and warehouse/yard employees
- Assists and directs the physical count and inspection of arriving material.
- Oversees the preparation of FMR’s reviewing documentation including commercial invoices, reviewing packing lists and bills of lading for completeness and accuracy upon receipt of goods
- Work with procurement team members to facilitate material order placement including responding to and/or coordinating responses in regard to questions about the requested materials.
- Reviews Material Receiving Reports (MRRs) for completeness, accuracy, and timeliness.
- Continually audits BPS and Toolhound data for accuracy and timeliness, & provide updates to reconcile accountings “Invoice Hold Report”
- Ensures documentation to record unsatisfactory over, short, and damage conditions of material received; ensures that corrective action is expeditiously completed and that formal Unsatisfactory, Over, Short & Damaged Reports are prepared for permanent record.
- Reviews the accomplishment of physical inventories on a timely basis to ensure valid records are continuously maintained. Assists with periodic inventory checks to balance, cycle or update existing inventories and discrepancies.
- Assists in the disposal of surplus project materials as approved by BEO management and directed by the Project Site
- Oversees preparation of shipping documents and registers for materials shipped off to jobsite locations. This includes working with manufacturers to obtain certificates required for operation and customs clearance of materials.
- Provides on the job training for employees as required.
- Responsible for the safe work plan and execution of activities under their direct control
- Responsible for the preparation and maintenance of Inventory Control Records (manual and automated).

- Prepares field material requisitions in support of BEO office, warehouse and regional projects
- Responsible for creating and maintaining various reports as needed
- Inventory tracking, counting and reporting
- Create and manage Tool Repair and Warranty Process orders
- Manage product receipt and transfer between warehouse/project as needed.
- Receive Purchase orders as needed
- Confirms receipt of goods from all shipments
- Completes MRR as required
- Provides confirmation of receipt of international shipments for home office to complete MRR
- Assist with the preparation of unsatisfactory, over, short and damage reports as needed
- Procurement system report generation
- Reports for inventory control
- Issues and returns of tool program materials
- Receive FMR’s from field. Check stock levels in Toolhound and maintain inventory levels.
- Assist in Warehouse/yard Safety audits as required
- Prepare shipping notification request forms as needed to support tool program material movement.
- Create requisitions for new inventory
- Work with vendors on delivery issues
- Review backorder reports
- Assist with the requisition of all office/warehouse/yard supplies.

Education and Experience Requirements:
- Requires a minimum of 4-6 years of related experience
- Associate degree or related technical training preferred
- Proficient level skill in Microsoft Word, Excel and Outlook.
- Demonstrated strong technical expertise and knowledge of tool materials and consumables and their sourcing and procuring with a minimum of 5 years’ experience.
- Previous inventory and yard management history, with at least 5 years of experience.
- Must possess legal right to work in US without inventory counts, inspections and participate in project walkdowns which require the following activities: extensive walking in and around a warehouse and laydown yard, climbing ladders, climbing scaffolding, walking on elevated platforms, walking on uneven surfaces, climbing in small and/or confined spaces, and lifting up to 60 lbs.
- Ability to travel to jobsite or vendor locations for meetings. Travel will be less than 5% of time.
Required Knowledge and Skills:
- Self-motivated, team player, and results-oriented. Strong organization and planning skills.
- Strong work ethic and ability to work in a team-oriented environment.
- Demonstrated ability to work and collaborate with multiple clients on a wide variety of projects.
- Team building, conflict management and resolution, and negotiating skills
- Must have experience using the DSCS / Toolhound or a similar procurement/Inventory Systems.
- Experience with and knowledge of the use of the Tool Hound Inventory System.
